How to use Group Modifications in NorthStar web

To add/delete an individual(s) or group(s) to/from an existing distribution group or to request a new public distribution group to be created in the PeopleSoft Directory, a Group Modification request must be submitted via NorthStar. You do not need to contact TSO to add or delete yourself from most groups.

Add/delete individual to/from group

To add/delete an individual to/from Lotus Notes distribution group(s) follow these steps:

  1. Launch NorthStar and if prompted, log in.

  2. Under Submit Tickets on the left side of the screen, click on Group Modifications.

  3. You may be prompted to log onto Planet PeopleSoft. For more information, see Eureka! document 15270 — How to log on to Planet PeopleSoft.
  4. From the Group Modifications screen that appears, select Create a New Request.

  5. Click Next.

  6. In the Type of group modification section, click in the circle to the left of Person Management.

  7. Click Next.

  8. Choose the person for whom you wish to make a modification by clicking on the letter of the alphabet for the last name of the person. Scroll through the list of names to find the person and click on the name of the person.
    • By default, your name appears.

  9. Click Next.

  10. If you wish to add the individual to any group(s), click here. To skip this step, click Next on the screen and move on to the next step in this document.

  11. To add the individual to any group(s):

    • Choose the groups (up to 10) that you wish to add the individual to by clicking on the letter of the alphabet for the group name.
    • Scroll through the list of group names and click on the name of the group(s). You can choose multiple names by holding down the { Ctrl} key and clicking on the group names.

    The results appear in the Groups Chosen section.

    Note: If you selected a group name by mistake, click on the Clear All button.

  12. Click Next.

  13. If you wish to delete the individual from any group(s), click here. To skip this step, click Next.

    To delete the individual from any group(s):

    • Choose the groups (up to 10) that you wish to delete the individual from by clicking on the letter of the alphabet for the group name.
    • Scroll through the list of group names and click on the name of the group(s). You can choose multiple names by holding down the { Ctrl} key.

    The results appear in the Groups Chosen section.

  14. Note: If you selected a group name by mistake, click on the Clear All button.

  15. Click Next.

  16. The last "Group Modifications" screen appears requesting you to review the summary information. If you need to make any modifications to your request, click the Back button.

  17. Click the Finish button.

  18. A screen appears with the following information:

  19. Thank you. Your request has been submitted.

    You will be notified of the progress of this request via email.

  20. Click on the Return to My Homepage button to return to your NorthStar home page.

If the Group Modification request you submitted requires authorization, you will receive an Automatic Notification email with a Subject line that reads Your Group Modification Request has been forwarded to Group Owners for Authorization.

If the Group Modification request you submitted does not require authorization, you will receive an Automatic Notification email with a Subject line that reads Your Group Modification Request for [name] has been completed.

Add/delete people or group(s) to a single group

Note: The steps below apply to only adding fewer than 15 people to a group. If you need to add 15 or more people to ONE group, and you did not want to use the method described below, click here for instructions.

To add/delete people or group(s) to a single Lotus Notes distribution group(s) follow these steps:

  1. Launch NorthStar and if prompted, log in.

  2. Under Submit Tickets on the left side of the screen, click on Group Modifications.

  3. You may be prompted to log onto Planet PeopleSoft. For more information, see Eureka! document 15270 — How to log on to Planet PeopleSoft.
    • The Planet signon screen within NorthStar has a vertical scrollbar on the right side of it. Use it to scroll down to the bottom of the screen to log on, using your network name and password.

  4. From the "Group Modifications" screen that appears, select Create a New Request.

  5. Click Next.

  6. In the Type of group modification section, click in the circle to the left of Group Management.

  7. Click Next.

  8. Choose the group for which you wish to make a modification by clicking on the letter of the alphabet for the group name. Scroll through the list of group names and click on the name of the group.

  9. Click the Next button and the next "Group Modifications" screen appears.

  10. For each person (up to 15) you wish to add to the group name selected:
    • NOTE:  A different procedure may be used for requests to add 15 or more people to a single group.  For instructions on the procedure, click here.
    • Choose the name of the person by clicking on the letter of the alphabet for the last name of the person.
    • Scroll through the list of names and click on the name. You can choose multiple names by holding down the { Ctrl} key.

      The results appear in the People Chosen section.

      Note: If you selected a group name by mistake, click on the Clear All button.

  11. Click Next.

  12. If you wish to add a group or groups to the group you selected, click here. To skip this step, click Next on the screen and move on to the next step in this document.

    To add a group or groups to the group you selected:

    • Choose the group names that you wish to add by clicking on the letter of the alphabet for the group name.
    • Scroll through the list of group names and click on the name of the group(s). You can choose multiple names by holding down the { Ctrl} key.

    The results appear in the Groups Chosen section.

  13. Note:  If you selected a group name by mistake, click on the Clear All button.

  14. Click Next.

  15. If you wish to delete person(s) from the group you selected, click here. To skip this step, click Next.

    To delete person(s) from the group you selected:

    • Choose the names of the person(s) that you wish to add by clicking on the letter of the alphabet for the last name.
    • Scroll through the list of names and click on the name of the person(s). You can choose multiple names by holding down the { Ctrl} key.

  16. Note:  If you selected a group name by mistake, click on the Clear All button.

  17. The last "Group Modifications" screen appears requesting you to review the summary information. If you need to make any modifications to your request, click the Back button.

  18. Click the Finish button.

  19. A screen appears with the following information:

    You will be notified of the progress of this request via email.

  21. Click on the Return to My Homepage button to return to your NorthStar home page.

Adding 15 or more people to an existing group at one time

When 15 or more people need to be added to an existing group at one time, you may use the method described above, or this procedure may be followed:

  1. Create an Excel spreadsheet with one column containing the user names and one column containing their respective employee IDs.  Both the names and employee IDs must be included when submitting the request.

  2. Find out and take note of the exact name of the group to be modified. You will need to submit this information.

  3. Find out and take note of any additional information that will be helpful to fulfill the request. For example, your contact information. You will need to submit this information.

  4. Submit a new Lotus Notes service request via NorthStar. There is a choice for "I need to modify an existing group" when logging a Lotus Notes ticket. For information on how to submit a NorthStar service ticket, see Eureka! document 70001 — How to create a ticket in NorthStar.
    • Attach the Excel document containing the user names and employee IDs to the service request.  For information on how to add an attachment to a NorthStar request, see Eureka! document 15091 — How to add attachments to a NorthStar ticket on the web.
    • Include the name of the group to be modified in the request.
    • Include the additional information needed to fulfill the request, such as your contact information.

Once the request containing all of the required information is submitted, it will be processed.

Creating a new group

A new group can be added to the PeopleSoft Directory if it contains a minimum of 5 members. If the new group is a sub-group and rolls up into a main group, it may contain a minimum of 3 members.

When requesting a new group creation, the request must contain the following:

  1. The exact name of the new group.

  2. The level of authorization required:
    • No Authorization Required: Anyone who submits a request to be added to the group will automatically be added.
    • Authorization Required: Approve after TimeOut: When a request is submitted to be added to the group, the group owner will receive notification so it can be approved or denied. If the group owner does not respond to the notification within 72 hours, the requestor will automatically be added to the group.
    • Authorization Required: Deny after TimeOut: When a request is submitted to be added to the group, the group owner will receive notification so it can be approved or denied. If the group owner does not respond to the notification within 72 hours, the requestor will not be added to the group.

  3. Description of the group.

  4. Names of and employee IDs of the members of the group. This information is MANDATORY.
    • Note: If the group will contain 15 or more members, you may use an Excel spreadsheet document to list the names in one column and their respective employee ID numbers in a separate column and attach the file to your NorthStar ticket. Please indicate in the ticket that you have attached an Excel file.

 

Once all of the information is provided, submit the request via a Lotus Notes NorthStar so the group can be created. There is a choice for "I need to create a new group" when logging Lotus Notes tickets.

View status of last request

To view the status of your last logged request, follow these steps:

  1. Launch NorthStar and if prompted, log in.

  2. Under Submit Tickets on the left side of the screen, click on Group Modifications.

  3. You may be prompted to log onto Planet PeopleSoft. For more information, see Eureka! document 15270 — How to log on to Planet PeopleSoft.
    • The Planet signon screen within NorthStar has a vertical scrollbar on the right side of it. Use it to scroll down to the bottom of the screen to log on, using your network name and password.

  4. From the "Group Modifications" screen that appears, select View My Last Request.

  5. Click Next and the last "Group Modifications Request" screen appears in a separate window with the status of your last logged Group Modification request.

  6. Click the Close button to close out of NorthStar, or click the Back button in your browser to return to the previous screen.

View all open requests

To view all of your open requests, follow these steps:

  1. Launch NorthStar and if prompted, log in.

  2. Under Submit Tickets on the left side of the screen, click on Group Modifications.

  3. You may be prompted to log onto Planet PeopleSoft. For more information, see Eureka! document 15270 — How to log on to Planet PeopleSoft.
    • The Planet signon screen within NorthStar has a vertical scrollbar on the right side of it. Use it to scroll down to the bottom of the screen to log on, using your network name and password.

  4. From the "Group Modifications" screen that appears, select View My Open Requests.

  5. Click the Next button and the Open Group Modification Requests for your name screen appears in a separate window with a list of all of your requests which are still open.

  6. Click the Close button to close out of NorthStar, or click the Back button in your browser to return to the previous screen.

View entire group modification request history

To view your entire group modification request history, follow these steps:

  1. Launch NorthStar and if prompted, log in.

  2. Under Submit Tickets on the left side of the screen, click on Group Modifications.

  3. You may be prompted to log onto Planet PeopleSoft. For more information, see Eureka! document 15270 — How to log on to Planet PeopleSoft.
    • The Planet signon screen within NorthStar has a vertical scrollbar on the right side of it. Use it to scroll down to the bottom of the screen to log on, using your network name and password.

  4. From the "Group Modifications" screen that appears, select View All My Requests.

  5. Click the Next button and the "All Group Modification Requests for your name" screen appears in a separate window with a list of all of your group modification requests.

  6. Click the Close button to close out of NorthStar, or click the Back button in your browser to return to the previous screen.

Administer groups

To administer groups for which you are a Group Owner, follow these steps:

  1. Launch NorthStar and if prompted, log in.

  2. Under Submit Tickets on the left side of the screen, click on Group Modifications.

  3. You may be prompted to log onto Planet PeopleSoft. For more information, see Eureka! document 15270 — How to log on to Planet PeopleSoft.
    • The Planet signon screen within NorthStar has a vertical scrollbar on the right side of it. Use it to scroll down to the bottom of the screen to log on, using your network name and password.

  4. From the "Group Modifications" screen that appears, select Group Owner Administration and click Next.

  5. In the Please choose the group to modify: field, choose the group you wish to modify from the drop down menu.

  6. To DELETE a group for which you are an owner, check the box next to Check here if you wish to delete this group.

  7. Click the Next button.

    The next "Group Owner Administration" screen appears which lists the Current Authorization Type. If you want to change the type of authorization required for the group you selected:

    • In the New Authorization Type field, click to in the circle to the left of one of the following choices:

    • No Authorization Required

    • Authorization Required: Approve After TimeOut

    • Authorization Required: Deny After TimeOut

  8. Click Next.

  9. To add Group Owners to the group, click here. To skip this step, click Next on the screen and move on to the next step in this document.

    • Choose the name of the person by clicking on the letter of the alphabet for the last name of the person.
    • Scroll through the list of names and click on the name. You can choose multiple names by holding down the { Ctrl} key.

    The results appear in the People Chosen section.

  10. Note: If you selected a person's name by mistake, click on the Clear All button.

  11. Click Next.

  12. If you would like to remove any of the current Group Owners from the group you selected, click here. To skip this step, click Next on the screen and move on to the next step in this document.

    • Click on the name of the group owner(s) you wish to remove from the group you selected. You can choose multiple names by holding down the { Ctrl} key.

    Note: If you selected a group owner name by mistake, click on the Clear All button.

  13. Click Next.

  14. The last "Group Owner Administration" screen appears requesting you to review the summary information. If you need to make any modifications to your request, click the Back button.

  15. Click the Finish button.

  16. A screen appears with the following information:

    Thank you. Your request has been submitted.

    You will be notified of the progress of this request via email.

  17. Click on the Return to My Homepage button to return to your NorthStar home page.

       

Your Group Owner Administration changes have been made. You may need to wait for replication.
