How to create expandable sections in Lotus Notes

A section collapses paragraphs in a document into a single line so the text does not take up as much space.  The paragraphs can then be expanded only when necessary. Sections help organize documents that contain large amounts of information that can be grouped together.

A section can be created once the information that needs to be included in a section has been added to the rich text field of a document.

To create a section:

  1. Highlight the entire text to be included in the section.

  2. Select Create from the menu bar.

  3. Select Section... from the drop down menu.

The section containing the information that was highlighted has now been created.

When a section is created, the first line of the text becomes the title of the section.   In most cases, the title is changed to a few words summarizing the topic of the section. 

To change the title of a section:

  1. Right mouse click on the current title of the section.

  2. Select Section Properties... from the drop down menu.  The section properties window will open to the information tab.

  3. Remove the current title from the Title section of the information tab.

  4. Type the new title in the Title section.

  5. Click the check mark to the left of the title to save the change.

  6. Close the section properties window by clicking the "x" in the upper right hand corner.

The section now appears with the new title.

When a section is created and the document saved or sent, the section will automatically expand when the document is opened.  Because the purpose of a section is to collapse alot of information into organized groups, it is best to set the sections not to expand when a document is opened.

To automatically collapse a section when a document is opened:

  1. Right mouse click on the current title of the section.

  2. Select Section Properties... from the drop down menu.  The section properties window will open to the information tab.

  3. Click the expand and collapse tab which is next to the information tab to the right.

  4. In the Previewed, Opened for reading and Opened for editing sections, click the down arrow to the right of "Don't auto expand or collapse" and select " Auto-collapse section".

  5. Close the section properties window by clicking the "x" in the upper right hand corner.

The section will now remain collapsed when the document is opened in a database or received as an e-mail message.

A section can be moved if it is located in the wrong place in a document.

To move a section:

  1. Single click on the section title.

  2. Select Edit from the menu bar and select Cut from the drop down menu.   The section will be cut from the document and placed on the clipboard to be pasted in a different location.

  3. Click the mouse in the document to where the section should be moved.

  4. Select Edit from the menu bar and select Paste from the drop down menu.

The section has now been moved to a new place in the document.
