How to zip files using PKZIP

PKZIP replaced WinZip as the PeopleSoft standard file compression software in October 2001. If you still have WinZip, and many machines still do, you can try Eureka! document 10035 — How to zip a file with WinZip. Your machine should be upgraded to PKZip in the near future.

PKZIP can be used to zip (compress) files so that they can be more easily sent and retrieved. You can zip one file or several. Click on one of the links below:

Compress a single file

To compress single file into a zip file, follow these steps:

  1. Launch My Computer.

  2. Navigate to the directory in which the file is located.

  3. Right-click on the file.

  4. From the pop-up menu, choose PK ZIP, then Add to New Archive...

  5. The Save As window appears. Navigate to the drive and directory in which you want to create the ZIP file.

  6. Enter a name for the ZIP file in the File name: field. You do not have to add the ZIP extension - PKZIP will do that for you automatically.

  7. Click Save.

A ZIP file containing that single file is created in the drive and directory you have specified.

Compress multiple files into one zip file

To compress multiple files into a single zip file, follow the steps below. You can also use these steps to compress a single file:

  1. Launch PKZIP by clicking Start, then P rograms, then Utilities, and finally PKZIP for Windows.

  2. When the PKZIP application opens, click on New.

  3. A Save As window appears. Navigate to the drive and directory in which you want to create the ZIP file.

  4. In the File name field, type in the name you would like to give the ZIP file. You do not have to add the ZIP extension - PKZIP will do that for you automatically.

  5. Click Save.

  6. The Add Files screen appears. Navigate to the drive and directory in which the files you wish to zip are housed.

  7. Choose the files you wish to add.

  8. The list of files in that directory appears in the window. Choose the files you wish by holding down the { Ctrl} key and clicking on them.
    • If there are several files that appear one after another in the window, click on the first one, press the { Shift} key, and then click on the last file.

  9. When you have chosen all your files, click Compress.

  10. The progress bar will indicate 100% and the Done button will be activated when the files are finished zipping.

  11. Click Done.

You can see the zip file with the contents listed.

Add a single file to an existing zip file

To add a file to an existing zip file, follow these steps:

  1. Launch My Computer.

  2. Navigate to the directory in which the file is located.

  3. Right-click on the file.

  4. From the pop-up menu, choose PK ZIP, then Add to Existing Archive...

  5. The Save As window appears. Navigate to the drive and directory in which the ZIP file is located.

  6. Click on the name of the existing zip file.

  7. Click Save.

  8. A progress screen appears. When the screen disappears, you will be back in the My Computer screen.

The file should be added to the existing zip file.

Add multiple files to an existing zip file

To compress multiple files into a single zip file, follow the steps below. You can also use this method to add a single file to an existing zip file:

  1. Launch PKZIP by clicking Start, then P rograms, then Utilities, and finally PKZIP for Windows.

  4. Click once on the name of the zip file.

  5. Click Open.

  6. Click Add.

  7. The Add Files screen appears. Navigate to the drive and directory in which the files you wish to zip are housed.

  8. Choose the files you wish to add.

  9. The list of files in that directory appears in the window. Choose the files you wish by holding down the { Ctrl} key and clicking on them.
    • If there are several files that appear one after another in the window, click on the first one, press the { Shift} key, and then click on the last file.

  10. When you have chosen all your files, click Compress.

  11. The progress bar will indicate 100% and the Done button will be activated when the files are finished zipping.

  12. Click Done.

You can see the modified zip file with the contents listed.
