How to prompt to save sent mail in Lotus Notes
When Lotus Notes is installed on a workstation, the default is that all mail sent is saved. To better manage the size of your mail file so it does not exceed the 150MB corporate guideline, you should change the setting so that you are prompted to save all sent mail. That way, you'll only save important notes - not all notes.
To change/verify that you are always prompted to save sent mail, do the following:
Click on File from the menu bar.
Select Preferences from the drop down menu and select User Preferences ... from the next drop down menu.
Click on Mail and News on the left side of the window.
In the Sending section, click the down arrow.
Select Always prompt and click OK.
When sending mail, a pop-up window appears asking "Do you wish to save this new message?". Click Yes to keep a copy of the message and click No if it's not necessary to save the message.
Note: If your setting was previously set to Always keep a copy, you might want to go to the Sent folder in your mail file and delete those documents which are unnecessary to save.
