Alarms can be set for the Lotus Notes calendar so that notification is given prior to the event occurring based on the advance time the alarm has been set. The alarm notification is a pop up window that states the calendar entry type and when it will be occurring.

The default for alarms in calendar preferences is that they are not enabled.  They must be enabled in order to set the alarm advance time for any calendar entry type. 

Enabling alarms for specific calendar entries.

On occasion, alarms may discontinue working. If this happens, the user should disable the alarm setting, delete the Lotus Notes cache and then re-enable the alarms setting.

To enable alarms and set the alarm advance time:

1. Open Calendar Preferences:

   • From the calendar: Click the Tools button and select Preferences... from the drop down list.

   • From the mail file: Click the Tools button, select Preferences... from the drop down list and click the Calendar tab.

2. Click the Alarms tab.

3. Click in the box next to Enable alarms so that an "x" appears.  The window will expand to list the calendar entry types and their advance notification windows.

4. Select any calendar entry type that should have alarm notifications by clicking in the box next to it so that an "x" appears.

5. Type the number of minutes or days in advance (depending on calendar entry type) of the event to be notified in the box to the left of minute(s) in advance or day(s) in advance next to the corresponding calendar entry type.
   
• Do not select an entry if an alarm is not needed.  Leave the window empty for the advance notification.
  
  
6. To change the default sound when an alarm notification window pops up, click the down arrow in the to the right of the Default sound: field window and select the preferred notification sound.
   
7. Click OK.

An alarm notification pop up window will appear prior to the next calendar entry item based on the advance notification time set.  It will only occur if that calendar entry type was selected to receive alarms.

On occasion, alarms will discontinue working. To resolve this issue, the alarm setting should be disabled and the the Lotus Notes cache deleted. Then the alarms setting should be re-enabled.

To disable the alarm setting:

1. Open Calendar Preferences:

   • From the calendar: Click the Tools button and select Preferences... from the drop down list.

   • From the mail file: Click the Tools button, select Preferences... from the drop down list and click the Calendar tab.

2. Click the Alarms tab.

3. Click in the box next to Enable alarms so that an "x" no longer appears.  The window will collapse so that the different calendar entry types are no longer available.
   
   
4. Click OK. Alarms will no longer be enabled.
   
   
5. Exit Lotus Notes and delete the Lotus Notes cache. Notes must not be open when the cache is being deleted. For additional information, see Eureka! document 16107 — How to delete the Lotus Notes cache.
   
   
6. Re-launch Lotus Notes and re-enable the alarms following the process outlined on the previous page.

Alarm notifications should now work again based on the advance notification time set.
