How to synchronize the Personal Address Book and Contacts list

Note: Lotus iNotes (Webmail) is currently in beta testing mode only and is not available to the general PeopleSoft population. The pilot is currently closed and is not being expanded to include additional users. Look for communications via OneVoice regarding iNotes (Webmail) in the future.

The Contacts list in iNotes Web Access is basically the same as the Personal Address Book in the Lotus Notes client. Entries from the Personal Address Book are not automatically populated into the iNotes Contacts. They can be synchronized from the Lotus Notes client so that entries created, modified or deleted in either the Personal Address Book or Contacts list can be updated in the other.

To synchronize the Personal Address Book and Contacts:

  1. Open the Lotus Notes client.
    • Synchronization cannot be done from the iNotes client.

  2. From the mail file, select A ctions from the menu bar.

  3. Select i Notes Web Access from the drop down list and select S ynchronize Contacts from the next drop down list.

  4. A window will appear that says, "There are __ entries to synchronize (where __ is the number of entries in the Personal Address Book). This may take awhile. Do you wish to proceed?" Click OK to continue.

The status bar will show the progress of the synchronization. When complete, another window will appear with the results. The results for the iNotes Contacts will appear above the results for the Personal Address Book. Click OK to close the results window.

NOTE: The Contacts list in iNotes Web Access does not contain personal groups. It only contains individual names of Contacts.
