How to sort mail by sender, date, size or subject in Lotus Notes

If a preference to have messages in the Lotus Notes mail file sorted by the sender name, newest messages at the top, by size or by subject, the sort selection does not need to be changed each time the mail file is opened. User Preferences may be edited so that the sort order preferred is retained.

To retain sort preferences for the mail file other than the default:

  1. Click the down or up arrow in the heading of the column to sort by:

    • Who: Sort by sender
    • Date: Show the newest messages on top
    • Size: Sort by size with the largest messages on top
    • Subject: Sort by subject in alphabetical order of the first word of the subject

  2. Select F ile from the menu bar.

  3. Select Pre ferences from the drop down list and select U ser Preferences... from the next drop down list.

  4. In the Additional Options section, scroll until Retain View column sorting (under Accept Cookies) appears.

  5. Click to the left of Retain View column sorting so that a check mark appears.

  6. Click OK.

The column sort preference selected will be retained until it is changed.

Note:
The column sort preference may function fine for awhile, but then may stop functioning at any given time. The stoppage may be for many reasons such as intermittent server issues or when a mail file is locked and the user receives a password prompt to unlock it often when switching from the Inbox to other folders and back. Also, the column heading may remain aqua in color and not sort or remain black and sort properly.

This is a known issue with IBM/Lotus Development and will be corrected in a future release of Lotus Notes.
