How to compact the mail file archive in Lotus Notes
It is recommended that the Lotus Notes mail file archive is compacted after several documents have been deleted from it. Because the archive is a local database on the computer's hard drive, it will not be automatically compacted as databases located on a server are.
To compact the mail file archive:
Close the mail file archive.
Open the Databases bookmark folder (the one with the blue book) and click the Workspace bookmark. This will open the Lotus Notes workspace.
If you have moved the Workspace bookmark to another folder, open that folder and click the bookmark.
Single click on the icon for the mail file archive so that the title - Your Name (Archive) on Local - is the color blue.
Select File from the menu bar.
Select Database from the drop down list and select Properties... from the next drop down list.
Click the second "i" tab and click the Compact button.
The archive will begin to compact. Depending on the size of the archive, compacting may take several minutes. Because the database is local, system resources will be used and working in the Lotus Notes application may be slow.
