How to give Read access to mail in Lotus Notes
Read access to the Lotus Notes mail file may be given to others so that they can read a user's mail, calendar entries or To Do items. The person being given access will be able to open all folders and messages within the mail file.
To give others Read access to the mail file:
Open the Lotus Notes mail file.
Click the Tools button and select Preferences... from the drop down list.
Click the Delegation tab and then click the Mail Delegation tab.
Read Mail, Calendar and To Do documents:
Note: The user must not remove their own name from any field on the delegation tabs. If the users name is removed, it will cause them to be locked out of their mail file so they cannot read, compose or reply to e-mail messages.
The people listed now have Read access to the mail file which, by default, also gives them access to read calendar entries and To Do items.
If the error message "You are not authorized to perform that operation" is received when trying to delegate mail, contact Technical Support Operations so that the issue can be escalated to a Notes Administrator for resolution.
