How to specify who can edit or create entries in the Lotus Notes mail file
Access can be given to the Lotus Notes mail file so that others can create and edit entries in the mail file, calendar and To Do list. For information on how to allow read access only to the mail file, see Eureka! document 16230 — How to give Read access to mail in Lotus Notes.
To allow others to create and edit entries in the Lotus Notes mail file, calendar and To Do list:
Open the Lotus Notes mail file.
Click the Tools button and select Preferences... from the drop down list.
Click the Delegation tab and then click the Mail Delegation tab.
Read, send and edit any Mail, Calendar and To Do document:
Click the down arrow to select the names of the individuals or groups from
the PeopleSoft Directory. The people added will be able to read, send or
edit mail, calendar entries and To Do items.
Delete Mail, Calendar and To Do documents:
Click the down arrow to select the names of the individuals or groups from
the PeopleSoft Directory. The people added will be able to delete mail,
calendar entries and To Do items.
Use caution in giving others access to be able to delete documents. If the documents are deleted, they will be permanently removed and the actual mail file owner may not ever see them.
Note: The user must not remove their own name from any field on the delegation tabs. If the users name is removed, it will cause them to be locked out of their mail file so they cannot read, compose or reply to e-mail messages.
Click OK.
The people listed now have access to read mail, calendar entries and To Do items as well as send mail only or send mail, calendar entries and To Do items.

If the error message "You are not authorized to perform that operation" is received when trying to delegate mail, contact Technical Support Operations so that the issue can be escalated to a Notes Administrator for resolution.
