How to submit personal/non-reimbursable items from American Express My Wallet

An American Express My Wallet transaction should be entered and submitted on an expense report even when the transaction is personal/non-reimbursable. The Corporate American Express card is meant for business use only. Personal charges should not be made. The transaction may also be entered or submitted on an expense report if you have already manually expensed and received reimbursement for a transaction, but it is now appearing in your wallet.

Note: The American Express credit card data feed was activated for employees in the PSOFT and PSNLD business units in July, 2003. Employees located in PSBEL, PSGBR, PSFRA, PSDEU, PSITA, PSESP, PSCHE and PSCAD will begin using American Express credit card data feed on February 1, 2004.

Please note that American Express transactions will be available for use in My Wallet with 24-48 hours from the date of purchase. This waiting period is subject to when the merchant reports the transaction to American Express.

To remove personal/non-reimbursable items from My Wallet:

  1. Log in to Planet PeopleSoft.

  2. Click the + next to Applications in the left side navigation window to expand that view.

  3. Click the Financials (Psynergy/FSCM) link.

  4. Click the Time Reporting, Expense Reporting, Travel Authorization link.

  5. Click the Other Expense Functions link and then click the My Wallet link.

  6. Search Criteria section:

      • From Date: and Through: fields: Leave as the defaulted dates.
      • Receipt Data Source: Leave as the default of All Data Sources.
      • Transaction Status: Leave as the default of All Transaction Statuses.

  7. If you previously used a transaction from your wallet to populate an expense report, the report id is associated with that transaction line.

  8. Assign the expense type of Other to the personal/non-reimbursable My Wallet transactions.

  9. Click the Save button and click OK.

  10. Open a new expense report and complete the steps to the Expense Details page. For additional information, see Eureka! document 16806 — How to complete the initial steps of an expense report up to the Expense Details page.
    Note: The Report Description should probably say something like "Personal/non-reimbursable expenses from My Wallet."

  11. Click the Populate From My Wallet link.

  12. Select the item(s) from your wallet that should be included on this expense report. You can choose one or more by clicking in the box next to the desired items so that a check mark appears. Click Select All to use all of the transactions.

    Note: If you see items in your wallet but are unable to select them, you must first map your expense types. You can select the expense type "Other" from the Expense Type drop down menu. Once complete, you can select the transaction for use.

  13. Click the Done button.

  14. Certain fields for transactions loaded through your wallet cannot be edited - Trans Date, Payment Type, Amount, Currency Code and Conversion Rate.

  15. Click the hyperlink for the personal/non-reimbursable expense type.

  16. Enter the reason why you have a personal expense in the Description window.

  17. Click in the box next to Personal Expense so that a check mark appears.

  18. Repeat steps 14 - 16 until each personal/non-reimbursable expense has been noted.

  19. Click the Done button.

  20. Review the report. If any items need editing, select the Expense Type hyperlink.

  21. Once you have verified that the information is correct, click one of the following buttons:
    • Save for Later: You wish to save this report and complete it at a later time.
    • Save and Submit: This begins the approval process. It will generate a "Request for Approval" email to your manager.

  22. Your manager will review and approve your personal/non-reimbursable expense report.
