How to run an optimization/billed hours summary or detail report

Business Purpose:
For Consulting Managers and others to be able to predict hours used to determine the Optimization component of Consulting Compensation. Time details can be used to analyze time broken down into main categories. It will show the breakdown between Billable, Nonbillable, Internal, etc.

This report should not be confused with the Utilization/Optimization eReport, as this report is not directly revenue based. While this is not the official Optimization % used to calculate the compensation amount, this tool will help you to validate the Timesheet details that are used to arrive at total Optimized hours. This report will be based off of when the time was worked, not when the timesheet was submitted. This is the major difference between this report and the Utilization/Optimization eReport.

The chart below outlines the report Dimensions:
Dimensions
Dimension Description
Project ID/ Description Project ID for each project row, with associated Project Description. 'Policy Time' in this column indicates that these hours are not associated with a project id
Activity ID Activity ID for Project Time or Type of Policy Time
Transaction Date Individual dates that make up a time reporting period
Period End Date Saturday of the week for which time is being reported
Time Quantity Hours reported for each transaction date
Billing Action Billing Action for each project row
Optimized Y or N indicates if Optimizable checkbox has been checked upon project setup

Billable Internal Internal Billable Hours All time charged to PeopleSoft Internal projects (i.e. CBCST, CINTR) and Optimizable checkbox has been checked upon project setup.
Non Bill Hrs Non-Billable Hours All time charged to Non-Billable projects (i.e. Bench), Time charged to Billable Project Types and time marked nonbillable on the timesheet, all Policy Time (i.e. PTO)
Optimized Hrs Optimized Hours All time from Billable Projects, designated Internal Projects (Internal Project is marked Optimizable during project set up)
Optimized % Optimization Percent Optimized Hour divided by Available Hours (40 hours per week)

To run the summary report, you must first log into the consulting area of eReports to select optimization/billed hours.

To log into the optimization/billed hours area of eReports:

  1. Log in to Planet PeopleSoft.

  2. Click on Applications to expand that section in PlanetNavigator on the left side of the screen.

  3. Click the eReports link.

  4. Click the Login to eReports link on the top right hand side of the screen.

  5. Click the eReports link and then click the Consulting Reports link.

  6. Click the Optimization/Billed Hours link.

You are now ready to run the summary report.

To run the summary report:

  1. Click the Optimization/Billed Hours Summary link.

  2. Select a region from the list provided by single clicking on that region. More than one region can be selected by holding down the {Ctrl} button and clicking on additional regions.

  3. Click the Next button.

  4. Select a department ID from the list provided. More than one department ID can be selected by holding down the {Ctrl} button and clicking on additional department IDs.

  5. Enter a From Period End Date using the YYYY-MM-DD format. This date must be a Sunday.

  6. Enter a To Period End Date using the YYYY-MM-DD format. This date must be a Saturday.

  7. Click the Finish button.

  8. Click the Inbox link. The report to appear in a few moments. The {F5} key can be used to refresh the page.

  9. Click on the Optimization/Billed Hours Summary link to the report and your values will be returned.

    If the Adobe Acrobat error message "Error reading linearized hint data" appears when attempting to view the report summary, a few steps need to be taken to resolve it. For information on how to resolve the error, see Eureka! document 28351 — ERROR: Error reading linearized hint data.

  10. At the bottom of the page is a dropdown list. The report can be saved to and viewed in Excel.
    To do this, click the down arrow to the left of the Go button, select the desired value and click Go.

  11. To drill down into the detail for an employee, click on the link for the employee's Emplid. You will be prompted to re-enter the dates using the YYYY-MM-DD format. Click the Finish button.

  12. Click the Report Ready button a few times. The results are returned in Excel.
    Note: It is only possible to drill down through the emplid in PDF format. This is not possible while in Excel.

  13. When you are finished viewing the detail, simply exit Excel.

  14. Use the Back button at the top of the page to navigate back to your Inbox.

The results are now in Excel.
