How to use Time Off Reporting

Time Off Reporting is the HR Self Service application used by all US and Canadian exempt employees to report PTO, Floating Holidays, Vacation or Sick days.  Currently, this option is not available to International Employees. When you take any paid time off, you must report it. To make it easier, you can report time prior to taking days off.

Once a month, exempt employees will receive a reminder email asking that all time off be reported.  If you did not use any time off during the month you do not need to respond. 

Time off can only be reported in 8-hour increments.  For time off in less than an 8-hour increment, notify your manager.

All Exempt employees in the IT department will not use this system to report time off. IT personnel will use the Time Report module in Psynergy/FSCM. For more information, see Eureka! document 17208 — How to enter a new time report.

To report time off through HR Self Service, follow these steps:

  1. Sign into Planet PeopleSoft and click the Human Resources link under Employee Resources in the Planet Navigator.   Then, click the link for Payroll and Time reporting. For more information on how to access Time Off Reporting, see Eureka! Document 17041 — How to access Time Off Reporting.



  2. Begin by choosing the type of leave you wish to report.  You will see Leave Types for {Employee name}.  Click the link for Paid Time Off, Floating Holidays, Vacation, or Sick.


  3. Once you click on a link you will go to the Paid Time Off Reported page and will be able to see time previously reported and your current leave balance (hours available to use).  If your reported time of has more than eight line items you will need to use the arrows, ( PT_NEXTROW_ENG_1.gif (98 bytes)), located at the top of the blue header to move to the next page.  You can also use the First and Last links in the blue header to move directly to those pages.


  4. To report days off click on the yellow Add Day(s) Off box located at the bottom of the page.


  5. You will be taken to the Enter Days Taken page.  From here you can enter a range of dates.  Using the From Date (required field) and the Thru Date enter the dates taken by typing into the text fields or you can click on the small calendar icons to the right of the text fields.  Once you have the calendar icon open you can use your mouse to point to the date you wish to enter.  To report only one day off you will only need to enter that day in the From Date box. 


  6. Once you have entered dates click on the yellow Save box located at the bottom of the page. 


  7. You will receive a message window stating that the save was successful.  Click on the yellow OK box.

You will then be taken back to the Paid Time Off Reported page.   You will see the newly reported day(s), each as a separate line item, as well as the newly adjusted leave balance. 

Note: Until you see the "Paid Date" column populated, the transactions have not been processed by the Payroll Department. Until they are processed, you can delete them if you do not actually take the time off.
