Approving Requisitions with eProcurement
As a manager you will be notified of requisitions pending your approval via automated email. The email will provide you with a direct link to the requisition approval page. When you click on this link you will go directly to the requisition approval page only if you are currently logged into Planet PeopleSoft. If you are not logged into Planet PeopleSoft and you click on this email link a browser window will launch automatically and take you to the sign on page. Simply type in your user name and password and you will continue directly to the requisition approval page. You will also be able to access requisitions pending your approval using the To Do list on your eProcurement home page.
To begin the review of your pending requisitions follow these steps:
Log into eProcurement 8. For more information on how to log into eProcurement see Eureka! document 17201 — How to log into eProcurement.
Select Manage Approvals from the eProcurement home page.
The first page allows you to set the search criteria to find the requisitions. If you want to see all requisitions waiting on your approval, leave the default settings as they are and click the yellow Go button. The matching results will be displayed below the search boxes.
To view each requisitions, click on the Requisition Name link.
On the requisition approval page you can choose to Approve, Deny or Hold the requisition.
The Approve button will document your approval and send the requisition to the next approver or to purchasing if you are the final approver in workflow. If you would like to add comments to this requisition use the Comments text box provided. Be sure to add your comments prior to clicking the Approval button.
All IT managers, before you approve any requisitions you must verify that each requisition has a Project ID number associated with it. For information on how to check for Project IDs, click here.
The Deny button will stop the requisition from further processing. An automated email will be sent to the requester informing them of this action.
The Hold button you will suspended the requisition from workflow. This requisition will be available for you to approve or deny at a later time from your to do list. You will not get any reminder emails once you have put the requisition on hold.
To get detailed information regarding this requisition click the View Request Details link. This will show you a high level view of the item and distribution information. This will take you to the Approval Comment page as shown. Use the Return to Previous Page link provided to return to the requisition approval page.
The
Currency icon (
) will show you currency and exchange rate information as related to this requisition.
To edit the Requesters Justification comments if necessary click into the Requesterss Justification For Purchase text box and type your comments. These modified comments will continue with the requisition as if they were the original comments and be available to the other reviewers and approvers.
Now that you have reviewed all the information on this requisition you can select the Approve, Deny or Hold button and go to the next requisition in your to do list on your eProcurement home page.
Viewing Project ID information
Click on the Requisition Name link.
Click on the Requisition Schedule and Distribution link located at the bottom of the page.
Click on the Display Shipping and Distribution header.
This will take you to the chartfield information which includes project ID information.
Use the Return to Previous Page link to return to the requisition start.
