Where do I go to enter a new requisition?

All requisitions are now entered through Planet PeopleSoft. For more information, including step by step instructions Eureka! Document 17201 — How to Log into eProcurement.

How can I check the approval status of a requisition?

The Workflow icon ( ) will show exactly who has approved your requisition and whose approval is still pending. The number of approvers for any given requisition is dependent on monetary value and commodity type. Between request and approval of this requisition you can find out where the requisition is by using the workflow icon.

How do I view ETA information on my purchases?

The Cycle icon ( ) will show a graphical representation of the current status of your requisition. As the requisition moves through it’s life cycle and the status changes the other graphics will light up letting you see where your requisition stands. Once the buyer has created the Purchase Order for this requisition, shown by the lit up PO graphic, you will be able check the Estimated Time of Arrival.

Can budget managers approve their own requisitions?

Currently,the budget managers can enter their own requisitions and pre-approve those up to $10,000.00. This policy is under review and could change.

Can you view requisitions pending approval a "level up"(manager's queue)?

You will not be allowed to view any other approval queue but your own at this time.

Can the return to vendor function process a $0 PO's for evaluation units?

There will not be any $0 PO's allowed at this time. However, if you have an evaluation unit you may still enter a $0.0001 PO and note that it is for evaluation purposes only. You will also need to notify Elizabeth Briscoe so she can include this unit in her tracking.

Will there be increased visibility with invoices paid by PRO?

There will not currently be an increase in visibility of invoices paid by PRO because PRO's system is not integrated with ours. If you need more detailed reporting than the monthly reports provided now from PRO you will have to contact Terry Whitworth for this request.

If a change order decreases the cost amount on the original PO does the change order also reroute for approval?

Yes, if your change order decreases the cost amount on the original PO they will reiniate the requisition for approval.

Did the department numbers change?

The department numbers for all PeopleSoft departments has changed to allow for the new format. In some cases this means that departments will have a new department number.

What is the new department number format?

The new PeopleSoft department number format is 1234PST.

I need to enter a requisition but bill it to a department other than my own. How do I change a department number on my requisitions?

To change distribution information ( for example the GL account code or department number) you will first need to access the shipping information page by clicking the truck icon( ) from the summary page of your requisition. Once you are on the Shipping Information page click on the accounting page icon ( ) by the total column. The Distribution page is where you can change the account, department and location code information.

Note: Requisition approval starts with the Department manager. If you change the department code number then the manager for the new department will be notified.
