How to enter a Time Report using Mobile Time and Expense

Before you begin a new Time Report, be sure that you have refreshed all control data, project data, and localities (if US employee). For additional information, see Eureka! document 17306 — How to refresh Control Data for Mobile Time and Expense. Adherence to the Time Policy is verified using the same edits as the online system.

A soft time report submission deadline for MTE of Friday 5:00 p.m. Pacific Time has been established to allow for time to resolve any submission errors or data validation errors.

Unlike Travel Authorizations and Expense Reports, multiple Project Ids can be used on the same Time Report. Also, various categories of Policy Time, such as Paid Time Off, Floating Holiday, etc. are provided.

To enter a new Time Report, follow these steps:

  1. Log into Mobile Time and Expense (MTE).
    For additional information, see Eureka! document 17302 — How to log into Mobile Time and Expense.

  2. Select File from the menu bar and select New from the drop down list.

  3. Click the radio button next to Ti me Report

  4. Your Employee ID should default. If your employee ID does not default, you can enter it manually.

  5. The End Date will default to today's date. You must adjust this to be the Saturday of the week for which you are reporting.
    Note: If you are using the Copy From feature for time reports, ensure that the correct period end date has been selected for your Time Report. If you select a day other than Saturday, then the following Saturday will be defaulted.

  6. Click OK. The Header Defaults page will appear. The Country, State, Locality (for US employees) , , and Billing Action fields are required. You may either enter them now by using the drop down arrows to access the list for each field or enter them later for each line. The billing action will be checked against the project information when this is submitted to the online system and set to the correct action.
    • Billable projects: Only Billable and Nonbillable Billing Actions are allowed.
    • Internal projects: Only an Internal Billing Action is allowed.


    Note: If a time sheet for the selected week already exists, you will receive an error message stating whether it is an online or mobile report.. If you have not performed a Status Update since last entering a time report either in MTE or using the online application, the results will not be updated. You will not be notified that the report already exists until you submit the time report.     If a time sheet already exists that needs to be corrected, you must contact your manager and request a Prior Period Adjustment. For additional information, see Eureka! document 17234 — How to request corrections to a time sheet.
  7. Click OK.

  8. In the Project Information section, each row represents one project. Click on the search icon ( ) to access the Project Details section or you can simply click your cursor into each field to access the drop down values. Once you are in the Project Details section, use the drop down arrows to access the lists for PC Business Unit, Project ID and Activity ID. These are required fields. Resource Type, Resource Category and Resource SubCategory will be grayed out. All default values entered in Step #6 above will be carried over to each project row. You may, however, override this information at each project row. If you did not enter any values in Step #6, you will be required to do so at this time. The values that exist for each project row, whether defaulted from Step #6 above or entered for each row in Step #8, will be what drives how your time is actually submitted to the online application.

  9. Enter your hours worked for each project row you have completed and policy hours (PTO, nonbillable travel time, holidays, etc.) as needed in the columns marked for each day of the week. Some countries have a minimum hour requirement. If you work in a country with this type of requirement, and have not met the minimum hours needed, you will receive a validation error email when this time report is submitted to the online system.

    Note: PSOFT and PSCAD employees must enter 8 hours for Paid Time Off, Floating Holiday, and Sick Time. Anything other than 8 hours will return an error message.

    Additional Note: The time application has the ability to report project time in quarter hour (.25) increments. However, this is only to be used by PGS employees if their customers require that detail of reporting. All IT personnel using the time application should report by the whole hour. All PTO/FHO/Holiday hours will still need to be reported in full 8 hour increments. To enter any quarter hour increments using MTE, you must place a leading digit in front of the decimal.
    Example:
    .25 should be entered as 0.25. This may show on the worksheet as .03 however, if you set the cursor on the field, it shows 0.25 hours again. When these hours are submitted to online, the values are correct. The totals on the right hand side in MTE also look 'rounded up' but they are correct.

  10. When you are done reporting your hours for the day/week, select File from the menu bar and select Save from the drop down list to save the report. You will be prompted to enter any required fields that you may have left blank before you can exit the report.

  11. Once all fields have been completed and you are not prompted to return to any fields, select File from the menu bar and select Close from the drop down list.

  12. When you are ready to submit your time report to the online application, select Online from the menu bar and select Submit Ti me Report from the drop down list . You must be connected to the network to submit.

All pending time reports will show in a list. Select the time report to submit by clicking on the row and clicking the OK button. You will receive a confirmation message once the report has submitted. If there were any submission or validation errors, your email confirmation will state that the submission failed and provide you with the fields that are in error. Once these fields are corrected, you will be able to submit the report again. Remember, all corrections and resubmissions must still adhere to the Sunday 12:00 AM Pacific Time (Saturday midnight) report submission deadline.
