Entering a New Requisition for Services
To hire a contractor (contingent worker), you must enter a requisition for services. Follow the steps below to complete the requisition:
Log in to eProcurement. For more information, see Eureka! document 17201 — How to log in to eProcurement.
Once you are on the eProcurement home page click the Create Requisition link to access the new requisition sign on page.
Note : Catalog items and vendor lists are based on business unit. If you change the business unit you will change the catalog items and vendor list available to you. If you change the employee ID all shipping and department information will reflect that employees assigned defaults.
Once you have the Business Unit and employee ID entered click OK to continue.
On the Requisition Title page, the first text field is where you can enter a requisition title. You can enter a title now or allow the application to automatically generate a unique requisition number. If you plan to save this requisition as a template, you should be aware that the template name will reflect this requisition title. If you plan to have several templates you should give them each unique identifying names.
The Edit Defaults link will allow you to change the default information for this requisition. If you are going to reference one Project ID for the entire requisition, you can use the edit defaults function and set the project ID once for all services contained within this requisition.
Note: All IT managers are required to enter the coordinating Project ID on every requisition submitted. To reference a single Project ID on the requisition:
Click on the Edit Defaults link.
Click the Project ID link located in the bottom Chart Field Default section.
Complete each field using the Lookup icon (
) to search each field for the appropriate value. You will not be able to continue until all required fields are completed. IT managers only, use the following information:
- Business Unit - should always be PSOFT
- Project ID - should be the ID created for this project
- Activity ID - should always have the value 001
- Resource Type - should always have the value IT
- Resource Category - the values in this field relate directly to the eReports categories that you budgeted against. The available values are:
- OSERV - Outside Services
- OTHEE - Other Employee Expenses
- SUPLY - Supplies & Equipment
- TRVEN - Travel & Entertainment
Resource SubCategory - always leave this blank
Once you have completed all the fields, click the yellow OK button to return to the Edit Defaults page.
Verify your information and click the yellow OK button. You will be returned to the new requisition entry page.
Click the
Service Requests(
) icon/link.
Enter the necessary information. An asterisk (*) indicates a mandatory field. Justification comments are now required.
Use the tabs located along the top of the page to complete all the information for each worker requested.
Note : Be sure to include the project ID number in the Cost Distribution icon located on the Requisition Summary page.
Once all the information has been entered, click on the Add button (
) to insert a new line for the next worker.
If you'd like to use a specific vendor for this requisition, see choose a specific vendor below for more information.
Click Save and Return. The Requisition Summary page will display.
Once you have entered all of the relevant information, click Save and Submit to submit the requisition.
The Requisition will now go through the approval process. After your services requisition has been approved, you will need to enter the contingent worker in HRMS. See Eureka! document 18162 — Entering a contingent worker in HRMS for detailed information.
When adding a new requisition, there are four tabs at the top of the page. Select the fourth tab - Sourcing Preference.
In the comments field, enter the following information about the vendor that you would prefer to use for this particular requisition:
Vendor name
Address
Phone number
Fax number
Name of contact person
Contact person's email address
Name of contractor who will be performing the work
Click Save and Return.
